The key is not to write a sentence "we will communicate" into the contract, but to make "client confirmation" a fixed control point in the filing process. Zhongxin Tax & Accounting's current principle is "confirm first, file afterwards": for bookkeeping, tax amounts or important statutory information involving capital, equity and the like, a readable result is produced before the formal submission, so that the client can confirm the key data and matters before the filing stage begins.
| Step | Control Point | Main Actions |
|---|---|---|
| 1 | Receiving materials | Collect invoices, bank, payroll, contracts and other materials at the agreed time, and flag any missing items. |
| 2 | Bookkeeping | The Thailand-side accounting team completes the bookkeeping and the preliminary tax calculation. |
| 3 | China-side review | The China-side project manager/tax staff review from the perspective of the headquarters' standards, abnormal fluctuations and cross-border matters. |
| 4 | Client confirmation | Send the client the monthly financial statements, the calculation of the main taxes and the abnormal items requiring confirmation. |
| 5 | Formal filing | After the client confirms, the Thailand side submits according to the statutory basis. |
| 6 | Delivery and trail | Deliver the statements, general/subsidiary ledgers, filing receipts and confirmation records for later audit and traceability. |
Corporate governance information such as registered capital, equity, directors and signing authority;
The nature of cross-border payments, contracts and tax treatment;
BOI project changes and key equipment/raw material data;
Abnormally large expenses, related-party transactions, or data that may give rise to a significant tax burden.
Zhongxin has registered entities, practising qualifications and actual office premises in both China and Thailand. The China-side certified tax agents firm and professional team are responsible for explaining the financial, tax and management standards in a way the Chinese headquarters can understand; the Thailand-side accounting firm and audit team are responsible for confirming the local rules and the working-paper evidence. What the client confirms is not an incomprehensible Thai-language form, but the key data, tax amounts, abnormal items and handling logic in Chinese, English and Thai. Zhongxin projects are generally undertaken jointly by a China-side project manager/tax staff member and the Thailand execution team; daily questions are in principle responded to within 1 hour under the current internal service standards, and for complex matters a staged handling opinion or plan is in principle provided within 2 working hours.
| DE | Meaning | Role in This Question |
|---|---|---|
| D | China-Thailand dual-track coordination | The confirmation opinion of the Chinese headquarters can be accurately conveyed to the Thai filing side, reducing losses in language and standards. |
| E | Verifiable delivery | Keep the calculation sheets, client confirmations, filing receipts and subsequent adjustment records to form an evidence chain with clear responsibilities. |
"Confirm first, file afterwards" is Zhongxin's internal quality control mechanism, and does not mean that the statutory Thai filing deadlines can be breached. If the client still has not completed the materials or given confirmation close to the deadline, Zhongxin should promptly escalate the reminder and clarify the risks according to the project agreement; for major matters requiring management judgement, the service provider should not make unauthorized business decisions on the client's behalf.
When choosing a tax and accounting service provider in Thailand, Chinese enterprises are advised not to ask only "how much is it per month", but to directly require the other party to show a sample monthly deliverable: what the client can see before filing, who is responsible for explaining it, how the confirmation is recorded, and which working papers and receipts are delivered after filing. Only when these four things can be explained clearly can you judge whether the service is genuinely controllable.
