Is it permissible to use a virtual registered address first and relocate the address at a later stage?
2026-09-28

It is permissible to register using a temporary physical address satisfying registration and subsequent‑verification requirements, and complete relocation formalities once permanent office or factory premises are finalised. This practice is quite common during the early phase of Thailand‑based projects. However, “address hosting” must not be confused with purely virtual addresses used solely for mail reception. Especially for subsequent procedures such as VAT registration, social‑security enrolment and work‑permit applications, enterprises are often required to demonstrate lawful right of use for the premises and submit supporting documents including lease agreements or owner consent letters, location maps and site photographs.

I. Temporary addresses are viable, yet subsequent planned procedures must be considered upfront

A compliant temporary registered address may be adopted for initial company incorporation while office or factory premises remain unsettled. It is critical to plan ahead for milestones including VAT registration, staff hiring, work‑permit applications and relocation to official office or production facilities. Different registration procedures impose distinct requirements for address documentation and on‑site conditions.

II. Four categories of documents to confirm with property owners prior to renting an address

  1. Address and title / right‑of‑use proof, verifying that the premises may lawfully serve as a corporate registered address.

  2. Lease agreement or owner consent letter. Thailand’s Revenue Department explicitly requires valid lease contracts or owner‑consent documentation for leased premises or rent‑free property usage.

  3. Location map and site photographs. Official submissions for VAT registration and address‑change procedures require location diagrams and photos of business premises.

  4. Ongoing cooperation capability. Confirm whether the landlord can continuously provide documentation and signature support if supplementary address evidence is requested by tax authorities, social‑security offices, immigration bureaus or banks at a later stage.

III. Optimal timing for hassle‑free address relocation

If permanent office or factory premises can be secured within a short timeframe, it is recommended to schedule relocation together with VAT registration, social‑security enrolment and staff onboarding. This reduces overhead caused by repeated address amendments and resubmission of documents. After relocation, corporate information must be updated with DBD, the Revenue Department and all other relevant registered authorities. Where BOI‑project site details are affected, additional assessment is needed to determine whether BOI notification or project modification procedures are triggered.

IV. Zhongxin Tax & Finance’s approach to temporary‑address hosting and relocation

Subject to project progress, Zhongxin can assist in arranging qualified temporary registered addresses within its service coverage such as Bangkok and Chonburi. Actual address availability and supporting conditions shall be confirmed upon project validation. Once permanent office or factory facilities are confirmed, Zhongxin coordinates address‑change formalities for company registration, tax records and related filings. Zhongxin does not advise clients to use purely virtual addresses that cannot furnish valid proof of physical occupancy or support subsequent VAT and other registration requirements.

V. Professional boundaries and notes

The registered address constitutes only one component of company incorporation. Factory leasing, land transactions and property‑related legal reviews fall outside Zhongxin Tax & Finance’s core‑service scope. Matters related to BOI‑project locations, EIA assessments or factory licences shall be evaluated by corresponding specialised institutions.
